Exhibitors can select between two types of Stall Options:
- Bare Space or Customised Booth
- Octornorm or Shell Scheme Booth
Exhibitors are requested to inform the organisers of the selection of their stall type in
advance, so suitable arrangements can be made. Especially exhibitors opting for Shell Scheme
Stall must confirm 10 days prior along with the exact FASCIA NAME which needs to be
displayed on their booth.
Bare Space or Customised Booth are for exhibitors who wish to design & build their own
booth
from scratch
- Design and material for construction of individual booths has to be arranged directly by
the Exhibitors
- Only Power connection will be supplied by organizers.
Octornorm or Shell Scheme Booth are for exhibitors who require the Basic Octonorm Set Up from
organisers on which the exhibitors can further add on their branding.
All Shell Scheme Packages Include:
- 1 Table with 2 Chairs
- 1 Waste Paper Basket
- 1 Company Name on Fascia Board including the Booth Number
- 3 100W Spotlights (Depending on back panels)
- 1 x Power Socket

Exhibition Stall Guidelines
1. Stall Possession, Setup & Dismantling
- Stall possession will be handed over from 11:89 PM onwards on 29th October 2026.
- All stalls must be fully completed and exhibition-ready by 6:00 AM on 30th October 2026.
No construction or fabrication work will be permitted after this time to allow
housekeeping and venue preparations.
- Dismantling and removal of exhibits shall commence only after the exhibition closes on
1st November 2026. All materials must be removed on the same day unless otherwise
instructed by the Organizing Committee.
- Any revision to the setup or dismantling schedule will be communicated by the Organizing
Committee closer to the Conference.
*Please note that the above setup, possession, and dismantling schedule is tentative and may
be revised closer to the conference dates based on venue requirements or operational
considerations. Any changes will be communicated to all exhibitors well in advance by the
Organizing Committee.
2. Stall Construction & Branding
- No part of any stall structure, exhibit, branding, or display may extend beyond the
allocated exhibition space.
- No additional fittings, name boards, covers, logos, balloons, or display elements may
be attached, glued, nailed, screwed, or drilled onto the shell scheme/Octonorm
structure.
- Only double-sided tape may be used for branding purposes. Painting, wallpapering, or
applying printed graphics directly onto Octonorm panels is not permitted.
- Banners, standees, and promotional displays may only be placed within the designated
stall area. Display or promotional material outside the allotted stall space or
elsewhere within the venue is strictly prohibited.
- Any damage caused to Octonorm panels or other stall infrastructure shall be chargeable
to the exhibitor.
3. Electrical & Power Supply
- Each stall will be provided with 1 KW single-phase power supply.
- Additional electrical load or three-phase power connections may be arranged at an
additional cost, subject to availability.
- All electrical wiring must be properly concealed, securely taped, and approved by the
venue's chief engineer. Temporary or loose electrical connections will not be permitted.
4. Safety & Compliance
- Exhibitors must comply with all venue fire, health, safety, and statutory
regulations
- All exhibits, materials, and products displayed must comply with applicable government
regulations and safety standards.
- During setup and dismantling, all personnel must wear appropriate safety gear,
including closed safety footwear and safety helmets.
- Personnel working in guest corridors during setup or dismantling must wear their
company's crew T-shirt or other identifiable uniform
- All contractors, labourers, technicians, and booth personnel
must carry a valid
Government-issued photo ID
while entering and working within the venue and produce it
upon request.
5. Stall Operations
- Exhibitor Badges: Each stall will receive the number of exhibitor badges
allocated by
the Organizing Committee. Additional badges, if available, may be issued at applicable
charges.
- Sharing or subletting of stalls is strictly prohibited and shall be treated as a
breach of contract. The Organizing Committee reserves the right to cancel the stall
allocation without refund and impose applicable penalties.
- Exhibitors are responsible for obtaining the necessary gate passes from the venue for
movement of materials in and out of the exhibition area.
- All exhibits, products, and promotional materials must comply with applicable
Government of India laws and regulations.
- Any materials retained overnight within the stall shall be at the exhibitor's sole
risk. The Organizing Committee and Venue shall not be responsible for any loss, theft,
or damage.
6. Housekeeping
- Exhibitors are responsible for ensuring that their appointed stall contractor
thoroughly cleans and vacuums the stall immediately after completion of construction and
before the exhibition opens.
- The stall should be handed over in a clean, safe, and exhibition-ready condition
before the commencement of the conference
Terms & Conditions
1. Booking & Confirmation
- Stall/partnership allocation will be on a first-come, first-served basis,
subject to
receipt of the full payment.
- Bookings will be confirmed only after the Organizing Committee receives the complete
payment.
- The Organizing Committee reserves the right to accept or reject any sponsorship or
exhibition application without assigning any reason.
- Acceptance of sponsorship applications shall be at the sole discretion of the
Organizing Committee. Applications that, directly or indirectly, do not align with the
objectives or values of the Conference may be declined.
2. Payment Terms
- Stall allocation will be considered final only after receipt of 100% payment.
- Failure to clear dues by the due date may result in cancellation and release of the
stall.
3. Taxes
- GST @ 18% and any other applicable taxes, duties, or government levies shall be charged
extra as per prevailing statutory regulations.
4. Exhibition & Event Management
- While every effort will be made to deliver all sponsorship benefits and exhibition
arrangements as published, the Organizing Committee reserves the right to make
modifications whenever circumstances require.
- The Organizing Committee reserves the right to allocate, reallocate, modify, or
reconfigure exhibition booths, floor plans, venue layout, programme schedule, or other
event arrangements whenever considered necessary.
- Such changes shall not constitute grounds for cancellation or compensation.
5. Liability & Insurance
- The Organizing Committee shall not be responsible for any loss, theft, damage, or
personal injury involving exhibitors, sponsors, their representatives, or their property
during the Conference.
- Sponsors and exhibitors are advised to arrange adequate insurance coverage for
personnel, exhibits, equipment, and other valuables.
6. Governing Law & Dispute Resolution
- These Terms & Conditions shall be governed by the laws of India.
- Any dispute arising out of or relating to the sponsorship, exhibition, or Conference
shall first be referred to arbitration in accordance with the applicable provisions of
the Arbitration and Conciliation Act, 1996 (as amended).
- Subject to the arbitration proceedings, the courts of Kanpur, Uttar Pradesh shall have
exclusive jurisdiction.
Cancellation & Refund Policy
- No refunds for cancellation.
